What this service entails
Tell us the date, headcount and shape of the day. Within a week you get a shortlist of rooms we have personally stood in — with capacities, kitchen access, load-in routes and honest trade-offs, not brochure adjectives.
We negotiate the hire, draw the floor plan around your sessions and catering, and dress the room with tables, light and seasonal styling on the morning.
- Shortlist of visited rooms with capacities and costs
- Hire negotiation, contracts and supplier bookings
- Floor plans, signage, tables and seasonal dressing
- On-site venue captain from load-in to teardown
How a venue booking runs
Brief & walk-throughs
We visit rooms with your running order in hand and rule out anything with bad acoustics, weak kitchens or cruel load-ins.
Plans & paperwork
Floor plans, hire contracts, insurance and supplier slots — signed, scheduled and shared with you in one folder.
Dress & showcall
We dress the room at dawn and a captain stays all day, solving problems before your guests notice them.
Venue questions
Can you work with a venue we already booked?+
Yes — we take over liaison, floor plans and dressing for rooms you have signed, and fold them into the same running order as catering and stage.
How far ahead should we book?+
Six to nine months for large halls in peak season; smaller rooms and weekday dates can often be secured in eight weeks.
Do you handle outdoor spaces?+
Rooftops and courtyards, always with a wet-weather plan priced in from the start — never as a panic upgrade.
Start with the room
Pairs naturally with conference catering and event films. Request a quote and get a first shortlist within a week.
